Freelance Banking made easy: HOLVI

Traditional banking: IBAN, security, EU laws

Security is an important topic for me when it comes to banking (and hopefully for you too). Holvi itself is regulated by the Financial Supervisory Authority of Finland as an Authorised Payment Institution. TLDR: They operate under EU law and do their very best to keep the money safe. Like every other bank. (Okay not all of them :)

Every account at Holvi also receives its own IBAN number for secure transactions in the EU. Something I really like is that their Mobile App sends me a push notification whenver I receive money or when a transfer has been made out of my account. This makes it safer to detect any possible fraud and also see once a client has paid.

But wait, a Finnish IBAN???…

Yes it gives you some weird looks tbh, but people get over it. I think it really doesn't matter whether your bank account starts with FI11 7997… or DE11 7997… You're even legally protected to use your IBAN Europe-wide, meaning businesses and tax offices can't reject it.

Holvi Business MasterCard & Mobile App

Now it's time to talk about payments. When running a business, especially when doing freelance work you've got to book trains or flights, pay for services or pay for other expenses. The Business MasterCard is really useful for that. I can simply use it to book flights and have the money taken from the appropriate account. On top of that the mobile app let's me know whenever I spent some money with a real-time push notification. Occasionally those are even faster than the card terminals in the store. So you'll have your notification before the cash register finished printing the receipt.

Oh and speaking of receipts: The app has a nice feature that can take a picture of the receipt and store it with the transaction. So whenever tax return is due, you don't have to scramble through some boxes trying to find that one missing bill.

Paperless bookkeeping & expense claims

I already wrote about the receipt feature but I think we might expand a bit. Both the Web Dashboard and Mobile App have the ability to upload attachments to every transaction. This can literally be anything. A picture of the receipt from the bakery or a PDF file for your web hosting invoice. I'm using that feature myself so every transaction has the bill attached to it.

The reason for all of this is that at the end of the year I can simply click the Export button and Holvi will upload all receipt files along with a nice spreadsheet to my Dropbox which I then hand over to the accountant (…not the movie, the person :D ).

Another thing I really like are expense claims. Okay that sounded wrong… I don't LIKE to do them, Holvi just makes it incredibly easy. Whenever someoney advanced some money for let's say a ticket or so, they can create an expense claim, attach a receipt. You then just click approove and Holvi will send that money to their bank account.

I've used it for payments that I made with the wrong card and the website really makes it easy to keep track of those expenses.

Online Store

This is a part of Holvi that I don't use myself at the moment but I think is worth sharing. When owning a Holvi account the Online Store feature is a rather easy-to-use tool to sell products and goods. I wouldn't say that is a Shopify-replacement that let's you deal with thousands of orders, shipments and more. It rather is a really easy way for freelancers or small businesses to quickly sell products.

You can even include a digital file after checkout to sell digital products (software, images, presets, etc.).
